President

The president oversees all areas of the league and assumes full responsibility for the operation of the league.
 

Duties

  • Preside at all league meetings.
  • Assume full responsibility for the operation of the local league.
  • Appoint all committees and supervise the activity thereof.
  • See that his league adheres to the rules, regulations and policies of the league.
  • Be sure the charter application or continuation form is submitted to league.
  • Review finances with Treasurer and be one of the “two signatures” allowed to sign checks.
  • Conduct the affairs of the Local League and execute the policies established by the Board of Directors.
  • Present a report of the condition of the league at the Annual Meeting.
  • Communicate to the Board of Directors such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of the league.
  • Be responsible for the conduct of the league in strict conformity to the policies, principles, Rules and Regulations of Little League Baseball, Incorporated, as agreed to under the conditions of charter issued to the Local League by that organization.
  • Designate in writing other officers, if necessary, to have power to make and execute for/and in the name of the league such contracts and leases they may receive and which have had prior approval of the Board.
  • Investigate complaints, irregularities and conditions detrimental to the league and report thereon to the Board or Executive Committee as circumstances warrant.
  • Works with the treasurer to prepare and submit an annual budget to the Board of Directors and be responsible for the proper execution thereof.
    Acts as the primary representative of the Local League to the District and National League directors.
 
 

Vice President

The vice president presides in the absence of the president, works with other officers and committee members, is ex-officio member of all committees, and carries out such duties and assignments as may be delegated by the president.

Duties

  • Presides in the absence of the President.
  • Coordinates efforts of other committee members.
  • Is ex-officio member of all committees.
  • Carries out such duties and assignments as may be delegated by the President.
  • Coordinates all Manager’s Meetings.
  • Oversee and coordinate with the League Information Officer all League Publicity campaigns, including but not limited to announcements, registration, clinics, seminars, articles, etc.

Treasurer

The treasurer is responsible for managing all league funds and coordinating with all other board members on financial needs. 

Duties

  • Receive and distribute all monies and securities, and deposit same in a KYSLL bank account approved by the Board of Directors.
  • Manage the relationship with league's bank.
  • Reports on status of league funds at each board meeting and when requested.
  • Maintains local league financial books and records and assumes the responsibility for all KYSLL finances.
  • Prepares and submits league tax returns.
  • Keep records for the receipt and disbursement of all monies and securities of the league on KYSLL Google Drive.
  • Works with league president to prepare an annual budget at the beginning of each year for submission to the Board of Directors at the Annual Meeting and ensures league funds are allocated according to the budget.

Secretary

The secretary maintains and records the minutes of meetings, is responsible for sending out notice of meetings, and maintains a record of league's activities.

Duties

  • Required to attend all monthly board meetings and records the minutes of meetings on the KYSLL Google Drive account. If unable to attend they are responsible for finding an individual to record the minutes.
  • Responsible for sending out notice of meetings.
  • Responsible for managing, organizing and maintaining all league records and documentation within the KYSLL Google Drive account.
 

Information Officer

The information officer is responsible for the public image of the league and any public  league communication. They are responsible for promoting the league through local media and other means.

Duties

  • Manages the league’s official website at kysll.org.
  • Manages the league’s Facebook page by sharing league information on the page.
  • Responsible for setting up the online registration process for all league events including each season.
  • Ensures that league rosters are maintained on the Little League data center.
  • Coordinates with Sponsorship Coordinator to ensure sponsors are advertised on the league web site.
  • Responsible for coordinating, obtaining and posting any required signage in relation to sponsors.
  • Responsible for coordinating league announcements with local media (i.e. local paper).
  • Responsible for coordinating any advertising including posting of signs and other materials for KYSLL events and registration.
  • Coordinates with team managers to gather any team photos for publishing on media outlets.

Safety Agent

The Safety Agent is responsible for the safety of the league and its participants.

Duties

  • Coordinates all safety activities including supervision of ASAP (A Safety Awareness Plan).
  • Perform background security checks and facilitates insurance claims.
  • Responsible for submitting the ASAP each year to the Little League office.
  • Schedules any necessary coach first aid training.
  • Ensures safe playing conditions by communicating the league safety plan to all team managers.
  • Coordinates reporting and prevention of any incident resulting in a player injury. This includes management and paperwork related to any insurance claims.
  • Solicits suggestions for making conditions safer.
  • Reports suggestions to Little League Headquarters through the ASAP program.
  • Works with the Equipment Coordinator to ensure that each equipment bag has an appropriate First Aid kit. 

Player Agent

The primary responsibility of the Player Agent is to be the first tier of guidance and facilitation as it concerns the players within the league. 

The Player Agent is to represent the needs and concerns of the league’s players (and to some extent families) to ensure that the needs of our players are equally represented when issues arise. The Player Agent plays a key role in the balance of the league. The PA should work to balance the needs of families (Suzie  wants to play with Sally) and the needs of the league (competitive balance, draft rules, etc.). The PA is the key to a healthy balance of fun and competition and critical to KYSLL’s ability to remain consistent with the aims of Little League Softball and our league’s mission.

NOTE: The player agent must not manage, coach or umpire, unless the local league has received explicit written permission to allow this from Little League Baseball International Headquarters.

Duties

  • Conducts and organizes player evaluations if necessary.
  • Oversees team creation and ensures competitive balance among the teams.
  • Responsible for checking birth records and eligibility of all players.
  • Supervises and coordinates the transfer of players between Leagues, either up or down in age.
